SmartMail Addressing

Mailing List

Our service offers printed addresses directly on your mail piece. We clean up your addresses with software that is updated by the United States Postal Service every three months. The software then adds a ZIP+4 and a bar code to the address. It check to see if this is a deliverable address in the USPS Database. Then we print directly the mail piece. It can be an envelope, flyer, postcards or a brochure. The advantage of this service is the time saved in putting labels on each piece of a mailing and cost of the label and the savings in postage. The result is a professional finish of the mail piece plus the savings to the department.

Mail List File

Files can be received by disk or email (carrollj@nsuok.edu) in the following formats and from several software programs including Word Perfect.

The Importable File formats are:

  • · ASCII-type file formats
  • · ASCII Comma Delimited
  • · ASCII Tab Delimited
  • · DBASE
  • · Excel 2.0, 3.0, 4.0
  • · DIF (Data Interchange Format)

CASS Certifications (Coding Accuracy Support System)

This service is why we can get a discount for the mailing. Running the addresses through this software improves the accuracy of delivery point codes, ZIP+4, 5-digit Zip Codes, and carrier route information on mail pieces. CASS provides a common platform to measure the quality of address matching software and useful diagnostics to correct software problems.

Paper Selection

The type of paper you use, Gloss or Flat finish will determine the rate we charge. On the Gloss finish the ink does not dry as quickly, so preparation of this mail piece takes longer.

Tabs

All un-enveloped mail pieces prepared for automation rate mailings must be tabbed (secured) to prevent an open edge from jamming high-speed processing equipment. Staples are specifically excluded. Some pieces may require more that one tab.

Cost Savings

Could be as much as $.20 a piece.

Labor Savings

The labor on your end would be generating the Mailing List and getting it to the Drop Zone in one of the above mentioned formats. Your supplies (envelopes, letters, brochures, etc.) can be picked up and delivered directly to the Drop Zone.

Then we:

  1. Certify the address
  2. Clean up the addresses (an extra charge)
  3. Sort into bar code sequence
  4. Print directly onto your mail piece or print labels (which ever you prefer)
  5. Tab your mail piece (if necessary)
  6. Tray your mail piece and deliver to the United State Post Office
